It is an exciting time to join Synexus and the Accelerated Enrolment Solutions (AES) division as our Polish business is growing and we are currently looking to attract (Senior) Project Assistant/ Coordinator to work on global programs.

This role will be part of Global Site Relations team, and key link with our site network and our clients and vendors.

In this position you may be cross trained to support two areas depending on the program and project needs - in retention information as well as site/ marketing materials for the study.

Role Responsibility

Key roles and responsibilities of the Project Assistant/Coordinator are as follows -

Retention support:
  • Monitoring and approving payment requests
  • Getting sites verified and set up in our systems
  • Training sites on our programs and systems
  • Troubleshooting payment issues, site issues
  • Managing the vendors and troubleshooting their issues
  • Tracking invoices received from vendors
  • Tracking completion of milestones and invoicing the client monthly
  • Creating custom reports for the client / presenting the data to the client
  • Weekly/bi-weekly meetings with the client to provide updates
  • Working with IT to program any studies that are still in "start-up" mode
  • Understanding contracts and making sure they stay within the scope of work
  • Work with the Finance and Proposals team regarding any Change of Scope and PO/Budget concerns
  • Work with the client to prepare documents for IRB/EC Submissions

Site materials support:
  • Work with our Creative Team to develop materials
  • Manage the vendors
  • Track and monitor shipping and printing or materials to sites
  • Work with the client to prepare documents for IRB/EC Submissions
  • Weekly/bi-weekly meetings with the client to provide updates

Ideal Candidate

To be considered for thisexciting opportunity you will require the following skills and experience:
  • BS degree preferred or applicable combination of education and experience
  • Ideally 1-4 years of work experience, clinical research or clinical site experience will be considered an advantage
  • Strong organization skills and attention to details
  • Project Management experience a plus
  • Proficiency in using MS Office programs and web applications
  • Demonstrated time management skills and ability to adhere to project productivity metrics and time lines.
  • Able to handle sensitive or demanding issues; firmly adhering to the principles of the regulations and guidelines.
  • Well-developed verbal and written communication and interpersonal skills.
  • Fluency in English
