Summary of responsibilities:

The Director, Project Management (DPM), working closely with the Vice Presidents in each Functional Area, will be responsible for project managing all functional aspects of novel drug development projects to successful development, registration and market introduction.  The DPM will work with our clients Senior Management Team to determine project strategies, and with internal and external groups to resource and implement the drug development project.  The DPM will oversee the implementation of operating plans for the project and will be responsible for the overall project timelines and budget.

Principal Responsibilities (include, but not limited to):

Project management

The DPM will work closely with the Functional Area VPs and other internal and external members of Project Teams to plan and define the Project scope necessary to meet the Project objectives.

The DPM will manage the integrated development plans for each Project and identify and implement cross-functional efficiencies.

The DPM will be responsible for ensuring that Project tasks are completed in accordance with approved plans and in compliance with our clients processes, policies and procedures.

In conjunction with the Functional Area VPs and other internal and external members of Project Teams, the DPM will manage the day-to-day operational and tactical aspects of multiple Projects using appropriate project methodology, skills and tools and ensure that any relevant technical standards are applied during the Project execution.

The DPM will manage the assessment of project risks and any mitigation strategies in conjunction with Functional Area VPs, the Senior Management Team and any other internal and external Project team members.

The DPM will manage the regular project team meetings, including scheduling, agenda setting and preparing minutes.

The DPM will monitor, control and report on Project progress to the Senior Management Team.

The DPM will undertake project management review on due diligence and licensing opportunities.


Vendor management

In conjunction with the Functional Area VPs and other colleagues, the DPM will support the identification, selection, coordination and contract set-up of external vendors for each Project in accordance with Outpost Medicine processes, policies and procedures.

By developing positive working relationships with external vendors, the DPM will ensure the execution of the Project is in accordance with the contract and seek to resolve any disputes in a timely manner.


Budget responsibilities

Working with the Functional Area VPs and other colleagues, the DPM will establish the overall cost estimate for the Project, including setting an appropriate level of risk provision or contingency.

Working with the Functional Area VPs and other colleagues, the DPM will ensure Projects are completed within budget.

Working with the Finance Manager, the DPM will monitor cash flow and support the provision of regular cost-of-completion forecasts for each Project.


Stakeholder communication

Working with the Functional Area VPs and other colleagues, the DPM will ensure that the Outpost Medicine Senior Management Team is appraised, in a timely manner, of the status and issues surrounding each Project, and clearly communicate these to other appropriate governance bodies where applicable.


Corporate responsibilities

The DPM will manage the regular senior management team meetings, including scheduling, agenda setting and preparing minutes.

The DPM will build, establish and develop Project Management best practices within Outpost Medicine.

The DPM will implement the use of Microsoft Project for tracking timelines, project interdependencies, and reporting program status.  This will include a process to track, manage and communicate project milestones.

The DPM will be responsible for an appropriate folder structure within Dropbox for project document management, tracking project governance and decisions, and reporting program status which will be scalable as the company grows.

The DPM will provide project management support to other teams/meetings as required to support optimal team functioning and delivery.

The DPM will ensure project management activities are compliant with GxP regulations where applicable.

The DPM will be responsible for the recruitment, training/development, mentorship, performance management and retention of project management professionals if needed as the company grows.


Minimum knowledge requirements:

Advanced project management skills, including project budget management.

Advanced expertise in Microsoft Project.

Expertise in web-based document management and storage systems.

Solid understanding of drug development, including clinical, nonclinical, regulatory, pharmacovigilance and CMC.

ICH guidelines, GxP regulations, FDA guidance documents, EU directives.


Additional performance requirements:

Fluent in English, with strong oral and written communication skills.

Skilled at multitasking, meeting deadlines, and working effectively in a small geographically-diverse company with competing priorities, with the willingness to be hands-on when needed to do what it takes and achieve key objectives.

Ability to build positive working relationships with the Senior Management Team, Board members, Key Opinion Leaders and internal and external Project Team members.

Ability to influence cross-functionally and handle problems decisively and objectively.

Excellent analytical and organizational skills with strong detail orientation.

Must be able to apply independent thinking, organizational abilities and strong discipline in a dynamic environment.

Resourcefulness, with willingness to operate outside areas of expertise through self-directed learning and effective partnership with internal and/or external parties.
