Job Details

The Division of Hospital Medicine , in the Department of Medicine, is seeking a highly motivated administrative professional to join a rapidly growing Division an Administrative Associate (AA), (Administrative Associate 2). Under the general direction of the Assistant Division Manager, the AA will provide administrative and operational support to the Division. The AA responsibilities encompass supporting the Division’s reimbursement processing, supply ordering, faculty recruitment and onboarding efforts, and updating and maintaining various databases and portals. Duties may include event coordination, meeting scheduling, and assisting with Division-related special projects. The candidate must be highly organized, detail oriented, and able to multi-task and work independently.

This exciting opportunity will require excellent judgement, communication and interpersonal skills, and the ability to take initiative and follow through. The successful candidate will work as part of a collaborative team and contribute to a positive and productive work culture.

Our Division is comprised of over 80 faculty spanning 6 diverse clinical sections, across 3 facilities in the Bay Area (Stanford Health Care, Stanford Health Care - Sequoia Hospital, Stanford Health Care-Tri-Valley). We are committed to excellence in clinical inpatient medicine, medical education, quality improvement, patient safety initiatives, and a broad research portfolio ranging from COVID-19 clinical trials to informatics and AI.

Note: The following position will be based on the Stanford campus and is a hybrid position (working on-site and working from home) position, subject to operational needs. Applicants must upload a cover letter and resume to be considered for this opening.

Duties include:
  • Respond to inquiries, and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
  • Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
  • Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, reports, brochures, and displays.
  • Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
  • Maintain office supplies and equipment; obtain vendor quotations, as needed. Coordinate office moves.
  • Maintain approved content on websites.

EDUCATION & EXPERIENCE (REQUIRED):
  • High school diploma and three years of administrative experience, or combination of education and relevant experience.

  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.


PHYSICAL REQUIREMENTS:
  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $31.79 to $37.96 per hour.
