What Vendor Management does at Worldwide

The vendor management team works cross-functionally across Worldwide to drive outsourced service excellence, control costs, manage and mitigate risks stemming from outsourced services and gain increased value from our vendors throughout the partnership life cycle.
Vendor Management is responsible for managing the life cycle of our vendors from sourcing, identification, onboarding, managing, development and off-boarding of vendors.
We strive to build a mutually beneficial relationship with our vendors and convert a regular business transaction into a long-standing partnership.

What you will do
  • Supporting the Vendor Bidding Team and the Operational Study Team to transition a project from awarded status to operational set up with our key strategic vendors.
  • Track projects awarded to Worldwide, details of the high-risk vendors included in the study and the value of the contract with each vendor.
  • Support study teams by ensuring that the service solutions proposed by our vendors meet the study requirements in full.
  • Ensure study-specific contracts are fully executed with our vendors before services are discharged.
  • Assisting in completing study vendor management plans, ensuring they are signed before all vendor contracts are executed and all plans are tracked and filed.
  • Support study teams and vendors with completing study risk assessments to identify potential operational risks and ensure all parties identify and implement risk-mitigating actions.
  • Support study teams with the provision of vendor-related documents to be filed in the study eTMF.
  • Join internal cross functional study kick off meetings to coordinate study set-up activities.
  • Join study set-up calls with vendors and sponsors to ensure all study set-up milestones are met and support the study teams with addressing any potential issues and/or delays.
  • Escalate vendor-related study set-up issues and support the vendor management team with resolutions.
  • Work cross-functionally to assist with the resolution of vendor-related quality incidents and oversee the implementation of CAPA plans pertinent to study-set-up activities.
  • Supporting with vendor performance management: measure and assess vendor performance using tools such as scorecards, satisfaction surveys, and vendor-provided KPIs.
  • Build a library of category-driven training material to educate the Worldwide study teams on study set-up best practices.
  • Identify, implement and track KPIs measuring the effectiveness of study-set processes on a per-service-category basis.
  • Help identify improvement opportunities to ensure vendor management is consistently aligned with, and meets, internal and external customer requirements.

What you will bring to the role
  • Great interpersonal skills and the ability to interface appropriately with all levels of the organization across a global footprint.
  • Strong attention to detail and ability to understand the importance of promoting a “one-team” culture with vendors and internal functions.
  • Excellent written and oral communication skills
  • Experience with Trackwise, Salesforce, Sciforma, or related database systems is an advantage
  • Proficiency in MS Office (Word, Excel, PowerPoint) is required.
  • Ability to work under pressure, multi-task, and meet tight deadlines
  • Be a self-starter and have the ability to use their initiative and think outside the box
  • Work to a high degree of accuracy


Your experience
  • BA/BS degree in Business Administration or related field, or equivalent combination of education and applicable experience.
  • Minimum 2-years experience preferably in a pharmaceutical or clinical trials environment as a study or vendor coordinator.
  • Requires strong presentation, documentation, and interpersonal skills.
  • Experience in working with third-party vendors and particularly central laboratories is desirable.
