About the role:

We are looking for a motivated and enthusiastic Medical Affairs Assistant who will provide administrative support to the Medical Affairs team. The role requires exceptional organization, time management, as well as strong communication skills. You will actively work to enhance current approaches to operational excellence by assisting in the development and/or implementation of new systems and processes, simplification of existing processes and identifying opportunities to enhance collaboration within Astellas amongst various administrative responsibilities.

Your key responsibilities will include:

  • General administrative tasks within the department as well as shared responsibilities with other administrative staff for general office activities
  • Participation and/or provide support for various projects across the organisation
  • Developing and maintaining database/server files and folders
  • Raising, tracking and coordinating purchase orders (end to end), including liaising with service providers
  • Expense and Travel management
  • Contract management
  • Coordinating team activities
  • Managing and coordinating workflows required for document review and approvals
  • Coordinate regular reports, meetings and agendas, organising schedules, dashboard management, and the writing and distribution of minutes in a timely manner
  • Assisting with orientation/onboarding for new starters within the Medical & Development team (e.g. systems, processes, procedures, staff introductions, etc)

Essential Knowledge & Experience:

  • Experience in a similar support role
  • Experience in general procurement processes
  • Strong level of attention to detail
  • Strong verbal and written communication skills
  • Efficient planning, prioritizing, and organising ability.
  • Effective time management skills.
  • Ability to work collaboratively with others including external and internal stakeholders.
  • A proven ability to work in a team environment and in establishing trusting, professional and supportive relationships with all employees.
  • Experience in understanding and anticipating external or internal customers’ needs and taking action to provide a high-quality service to exceed customers’ expectations

Preferred Knowledge & Experience:

  • Administrative experience
  • Experience working in the health sector, ideally within the pharmaceutical industry
  • Completion of the Medicines Australia Code of Conduct Course
  • Demonstrated competency in using the Microsoft Office suite with the ability to learn new programs/systems and technologies quickly
  • Experience working in a matrix environment

Education/Qualifications:

  • Bachelor’s degree in a health related  field preferred but not essential
