Job Details
Please note: this position is 100% onsite M-F (no remote work)
General
- Organize / Prepare required customs clearance documents in accordance with legislation
- Engage haulers, courier services
- Coordinate and trace shipments, notify recipients
- Proof of deliveries and investigation into cause for disturbance
- Verify charges and reconcile invoices
- Gain familiarity with building systems and technology (desk reservation, AV, package handlers)
Mailroom services
- Distribute incoming mail, contact employees and arrange for pick up
- Process outgoing mail including working with IT on equipment shipping
- Assist with outgoing courier packages
- Receiving, recording and distributing incoming courier parcels and delivery of goods
- Manage the inventory / stock of shipping supplies
- Responsible for mail deliveries between facilities
- Assist with all functions in mailroom
- Maintain mail volume tracker and metrics
Facility services
- Maintaining inventory and supplies, place orders to restock as needed
- Ensure work area and break room equipment is in good working order, report issues as needed
- Assist with meeting room set-up requirements, as needed
- Assist facility manager on duties as requested
- Attend and participate in weekly team meetings
- Maintain a positive, results orientated work environment, building partnerships and modeling teamwork, communicating to the team in an open, balanced and objective manner.
Skills & Knowledge:
- Excellent communication skills
- Customer service experience
- Ability to work collaboratively on a team
- Computer literate (MS office), IT knowledge is a plus
- Organizational skills
- Ability to represent Parexel to clients in a positive and professional manner
Qualifications:
- Education: minimum High School Diploma
- 5+ years working in a headquarters setting on a facilities team
- 5+ year experience handling shipping and receiving
- Ability to lift at least 50lbs
