Summary of the Position :

We are expanding our Travel and Expense team within the Accounting Operations function and are seeking an Associate Director to lead global spend and transparency reporting and manage global travel and expense operations. This role requires a cross-functional leader with excellent project management skills, an ability to engage and motivate teams, a commitment to accountability and a passion for problem solving. As an integral member of the Accounting Operations team, the successful candidate will collaborate, advise and educate the organization and its global entities on transparency data initiatives, projects and reporting. The role requires the ability to thrive in a fast-paced environment and reports to the Director, Accounting Operations.

Responsibilities include but are not limited to :
  • Build and lead a global transparency reporting program; develop the process for tracking and reporting HCP and HCO spend to meet certificate and disclosure obligations (e.g., Sunshine Act/State Law/EFPIA, etc.), select and implement third party developed reporting tools and collaborate with internal stakeholders such as Corporate Compliance, Commercial Operations and Legal.
  • Develop robust project plans to provide awareness of applicable standards and processes across all levels of the Company to identify appropriate transactions for reporting and achieve timely, complete, and accurate reports to applicable agencies or associations.
  • Ensure timely and accurate reporting with the CMS Open Payments and other similar regulations outside of the United States.
  • Ensure the continuous improvement of healthcare compliance practices, systems, and processes, with an emphasis on business integrity, operational excellence, and practicality.
  • Support the implementation and ongoing development of travel and expense operational strategies for new regions, in line with Global objectives.
  • Manage and administer global travel and expense programs, ensuring training, education and compliance with company policies and business processes.
  • Create a virtual helpdesk to answer stakeholder questions, inquiries, and support initiatives.
  • Ensure all transparency and travel and expense-related processes and policies are formally documented, develop and conduct helpful guides and training for the team and the organization.
  • Assess and respond to travel and expense team and operational needs; hire, advise, train, and support the development of staff
  • Support external auditor and other requests, assist with the evaluation of internal controls and compliance with SOX 404
  • Other ad hoc duties and responsibilities as assigned

Minimum Requirements :
  • 8+ years related experience, including at least 3 years managing teams and processes
  • B.S degree in Business, Accounting or Finance
  • Understanding of the Global Spend Transparency/Aggregate Spend landscape and related processes and systems
  • Proficiency with managing global ERP system projects including establishing requirements, vendor selection, system implementation and administration.
  • Experience working in T&E systems, Concur knowledge a plus
  • Biotech, pharmaceutical or healthcare industry experience
  • Established written and verbal ability to communicate clearly with stakeholders and individuals at all levels of the organization
  • Understands the importance of being a support service function and is effective at building stakeholder relationships
  • Proficiency with transparency reporting solutions
  • Strong leadership with ability to coach and develop team members
  • Proactive, makes independent assessments and presents possible solutions timely
  • Acts with integrity, understands internal controls within Accounting Operations
  • Must be proficient in MS Excel and MS Office Software
  • Working knowledge of Veeva or Workday, a plus
