Location: Dublin

The role:

We are looking for an experienced Facilities Manager of both hard and soft services with excellent people & customer skills, to take ownership of all aspects of day-to-day management of our corporate global headquarters in Dublin, consisting of up to 1000 staff.

Key responsibilities:
  • Management of all Facilities & Administration aspects of a global corporate headquarters on a day to day basis
  • Managing the Facilities & Administration team to deliver the highest level of customer service and ensure adequate training, mentoring and development is received.
  • Ensuring facilities and amenities are in-place for on-site visitors
  • Management of Facilities services to the site during normal hours of operation 8am-6pm Monday to Friday
  • Management of the site outside of normal hours on a 24/7/365 basis
  • Ensuring all Facilities, Administration, Security and other related policies are complied with at all times
  • Management of client audits for Facilities & Administration
  • Responsible for administration of facility security systems
  • Management of space planning for the site
  • Facilities project management
  • Conducting or overseeing Maintenance & housekeeping of facility including but not limited to:
    • Planned & reactive equipment maintenance.
    • Makes periodic or special inspections of premises to determine repair work necessary.
    • Manages the design, planning, construction and maintenance of equipment, buildings and other facilities.
  • Planning, budgeting and scheduling facility modifications including estimates on equipment, labor, materials and other related costs.
  • Developing criteria and performance specifications for facilities and equipment required to meet unique operating requirements and building and safety codes
  • Overseeing facility vendors, including but not limited to all hard services, fire and life systems, office supplies, cleaning services, security, pest control, catering, document storage/shredding, laboratory support


Skill and experience:
  • Proven strong people management skills and excellent people and customer skills.
  • Proven track record in managing a team of direct (in-house) and indirect (outsourced) reports to deliver excellent service levels on-site.
  • Strong knowledge and experience of hard services, plant and equipment, AC, HVAC, Critical Systems such as Generator back up, Statutory Compliance, Fire Detection and Suppression Systems, Water treatment, plumbing and electrical systems.
  • Strong Contract Management and Contractor Management Skills, including tendering and cost-savings
  • Proven track record in administration management such as invoice processing, reception, front of house, customer facing services plus back office administration
  • Experienced at Space Planning, Headcount Management, Furniture Projects, New Hire Inductions
  • Financial ownership of Budget, Forecast and Year to Date Actuals
  • Strong Facilities Project Management skills with track record in leading medium-large Facilities Projects
  • Experienced Planned and Reactive Maintenance manager
  • Experience at managing health and safety, ergonomics, Security, Catering, Cleaning management
  • Qualifications in Facilities Management or similar discipline a requirement. Qualifications in business, finance, administration, project management, health & safety an advantage.
