The Purchasing Coordinator role is an operations and supplier-facing position that facilities the selection process of animals through study direction protocol, determines the availability of the animals through the appropriate suppliers, identifies timing shipments, purchases the animals, and insures the receipt of the animals to the site. The Purchasing Coordinator is responsible for facilitating changes in study direction protocol based on availability or lack of availability of original research model requests. The position serves between study direction and suppliers to obtain the most appropriate alternative model/specification based on availability and at the same time mitigate cost impact to the study. They manage daily vendor management performance to support best in class on time and in full (OTIF) metrics.

Essential Job Duties:
  • Daily interaction with Study Direction, Costing, Operations, Planning on research model order and change order requirements.
  • Daily interaction with suppliers on supply chain and research model requirements
  • Regular vendor management of KPIs
  • Negotiate cost Savings, obtaining retrospective credits, and support cost mitigation with suppliers to Corporate Savings Goals
  • Insure we are in contract compliance with supplier agreements.
  • Develop and communicate costing metrics for Costing Department
  • Manages tactical supplier agreements and contract management activities.
  • Order Management through consolidation of orders, purchasing models through the most cost effective approved suppliers, and managing the timely shipments to support project timelines.
  • Provide Study Direction and Planning with insight on the research model market and animal availability through our suppliers based on bred & delivery dates of animals.
  • Works with and supports the Sourcing Team in supplier negotiations and vendor management opportunities.
  • Action, support, and maintain the global animal buyer work streams: Examples: Animal Requisition Mailbox Management, Printing Requisitions, Request a Purchase Order, Placing an Order, Confirmation Review, Confirm Requisitions, PO Completion, Change Order Process, Cancellation of Order Process, and Transgenic Inquiry.
  • Support and back up for Global Animal Buying for the USA.
  • Manages data collection and maintenance of reports and records necessary for sourcing analysis and monitors key performance indicators for the Purchasing Group.
  • Performs routine pricing negotiations, with existing suppliers, for the purchase of animals under defined guidelines.
  • Responsible for reconciling variances associated with orders (such as basic pricing match exceptions quantity discrepancies).
  • Generating and communicating different animal and animal related reports


Required Experience & Education;

• 3+ years of experience in the job discipline;

• 5+ years of experience in other professional roles;

• Associate Degree in related field. Experience may be substituted for education requirement.

• Must be able to accurately read and record information.

• Excellent communication skills, both oral and written are essential.

• Demonstrated ability to be persistent while maintaining tact.

• Working knowledge of personal computers and software programs necessary.

• Strong organizational skills

• Excellent customer service skills

• Willingness to learn and grow professionally

• Manage internal and external customers' expectations.
