Planning and Authorisations Manager 

 

ROLE SUMMARY

On behalf of my client, I am recruiting for a Planning and Authorisations Manager. Reporting to the Director of Veterinary Sciences, this is a 2-year fixed term contract.

 

The Planning and Authorisations Manager (Acting) will provide management and leadership to the team including co-ordinating planning, agreeing performance targets, on-going monitoring of performance, and providing support to staff, as well as staff management and development. 

 

KEY RESPONSIBILITIES

 

-    Strategic Management

-    o Support the Director of Veterinary Sciences in the management and ongoing development of the administrative activities of the Veterinary Sciences (VS) department

o  Work with the Director and colleagues in the VS management team in the preparation of annual plans, service plans and contribution to strategic plans for the VS department

o  Work with colleagues in the VS management team to prioritise objectives and to ensure that the strategic and operational goals of the VS department are achieved

o  Act as the ‘business owner’ for the various workflow and technological support systems within the department

 Proactively manage the throughput of applications, identifying potential problems and providing solutions to management on a timely basis

o  Ensure that authorisation activities of the department are integrated and co-ordinated 

o  Ensure that administrative processes are adequately described in SOPs and are fully implemented in the Planning and Authorisations area

o  Support the roll out of IT systems in the Veterinary Sciences Department

            

 

-    Performance Management 

-    o Work with colleagues in the management team, to set appropriate operational performance targets for the department

o  Ensure that resources available are aligned to the best effect in relation to outputs and that goals, objectives and performance targets are effectively communicated to the team

o  Lead, co-ordinate and participate in the performance development programme (PDP) across the Veterinary Sciences department

o  Identify operational performance issues and develop measures in conjunction with management team to resolve such issues

o  Provide leadership, support and direction to the Planning and Authorisations section

o  o Motivate colleagues to deliver optimal service levels

o  o Provide forecasts on applications to the management team

 

 

 QUALIFICATIONS AND EXPERIENCE

 

-    To be considered for this post, candidates must have:

-    o Minimum of 3 years’ management experience in an administrative service sector

-    o Minimum of 2 years’ experience in managing teams 

-    o Knowledge/experience of workflow and information systems, including ability to manage and report on various performance indicators and metrics

o  Demonstrable leadership and innovation skills o Excellent communication skills including good report writing skills o Ability to manage high and diverse workloads and be highly motivated individual o Flexibility to adapt to changing priorities and take responsibility to ensure that a successful outcome is achieved

o  Proven ability to use initiative and work unsupervised

 

-    In addition to this the ideal candidate will have.

-    o A relevant qualification (e.g., management, information management) 

-    o Proficiency in the application of Lean Six Sigma in a service environment

-    o Ability to engage with employees and understand their needs

-    o Ability to motivate a team to maintain output and productivity
