The department role is to coordinate, develop, and execute all client/sponsor contracts and change orders for newly awarded and on-going projects at ICON Clinical Research.

The role of the Senior Contracts Manager is to manage contracts personnel for all activities related to client/sponsor contracts and change orders for newly awarded and on-going projects.

Keyresponsibilities will include:

Contract/Change Order Development:
  • Responsible for all contracts and change orders issued by their team.
  • Ensures compliance of direct reports related to Client Contract Services SOPs, processes, guidelines, policies, and any other related items within the Client Contract Services group.
  • Works with key clients and on more complex negotiations as a result of their commercial awareness, exposure and ability to see the bigger picture.
  • Report current status and potential issues/concerns to senior client contract services management related to contracts and change orders and offer solutions.
  • Detailed understanding of each operational department’s tasks and roles within the task as well as cost drivers within ICON.
  • Possess a detailed knowledge of ICON’s costing tools, client budget grids, and any tools and templates developed within the Client Contract Services group.
  • Understand reasons and challenge supporting information provided by the project team related to budget changes (timeline, specifications, tasks, hours, etc.) to ensure that the budget changes are reasonable and justified.
  • Recognize when client questions/comments need required input and review by Legal and/or operations/senior management.
  • Understand and interpret legal language contained in a MSA, Letter of Intents, Start-up Agreements and standalone contracts.
  • Coordinate, develop, and negotiate contracts and change orders for newly awarded and on-going projects at ICON on an as needed basis. Develop and maintain client/project files and tracking tools as needed.
  • Support team in managing and prioritizing workload in relation to business needs, timelines and client submissions with consistent accuracy and speed.
  • Support team in developing cash neutral payment schedules.
  • Ensures direct reports update Salesforce in a timely and consistent manner with concise, accurate information on the status of the contract or change order.
  • Ability to innovate, able to identify, escalate and implement solutions to create efficiency, increase client satisfaction and/or improve employee engagement.


Quality:
  • Provide comprehensive QC review of contracts and change orders to identify potential issues/concerns and to ensure high quality and accuracy (error free) prior to client submission.
  • Ensure that contracts / change order timelines are consistently met.
  • Offer solutions to problems and be prepared to carry out the solution. Offer a balanced, comprehensive view that incorporates all the immediate decision making factors and a long term view toward downstream implications.
  • Build Relationships:
  • With ICON project teams, sales, proposals, finance, project analysis, and ICON management.
  • Understand work practices with clients and other ICON business units.
  • Build strong client relationships and understand their respective contractual and work practices and guide the ICON project managers, project teams, finance, vendors, etc. to follow such practices.
  • Take a strategic approach to client relationships. Identify and drive change to improve satisfaction and efficiency.
  • Communication:
  • Support team in leading discussion and negotiation with ICON Legal and Sales Team to determine the appropriate terms and conditions to be included in the contracts (inclusive of Letter of Intents and Start-up Agreements) and change orders.
  • Support team in leading discussion and negotiation with clients related to the contractual document (Letter of Intents, Start-up Agreements, standalone contracts) and project budgets.
  • Support team in providing the relevant information, analysis, recommendations required, and solution for negotiations and discussions with clients regarding cost proposals/change orders/contracts to the Director, the respective Sales personnel, and project teams.
  • Organize, lead, chair, and manage internal meetings and/or client related meetings required related to contracts and change orders.
  • Liaise with their Director on any issues that need to be escalated within ICON or the client.


Process Improvement:
  • As a Senior Manager, the employee is expected to recognize the importance of and create a culture of process improvement with a focus on streamlining our processes adding value to our business and meeting client needs.
  • Provide recommendations related to process improvements.
  • Identify and lead taskforce initiatives.


Training:
  • Prepare and deliver effective presentations for internal and client audiences that drive the business forward.
  • Provide recommendations related to training for the wider team.
  • Provide mentoring, training, and development of their direct reports on an ongoing basis and provide the necessary feedback to the respective Contracts Director.
  • Proactively identify areas or skills of direct reports that need to be further developed in the professional growth of the person.


Travel:
  • Travel (approximately 10%) domestic and/or international.
  • To undertake other reasonably related duties as may be assigned from time to time.
  • Office based, Hybrid working or home based considered - must be willing to commit to some office travel.


Requirements:

  • Previous experience within Industry desirable
  • Senior Contracts Management experience
