We have a great opportunity for a Senior Patient Recruitment Associate to manage (with oversight) and support daily activities relating to Patient Recruitment & Retention programmes within the materials business unit at Innovative Trials.

Key Responsibilities

To effectively manage (with oversight) and support Patient Recruitment & Retention programmes for defined projects, including:

  • Acting as client point of contact

  • Management of projects including some financial responsibilities

  • Management of third party vendors

  • Internal team management including Line management of co-ordinator and below

  • Management of translation process

 

Detailed Responsibilities

Client Contact and Project Management

  • Arrange and lead client communications

  • Lead internal team to ensure delivery of projects on time, in full, within budget

  • Lead/support communications across business units to ensure seamless service delivery

  • Manage the production of agendas, minutes and reports in the defined time frame

  • Management/completion of all start-up and project management documentation

  • Manage activities contracted to vendor, ensuring quality and timeliness of work completed

  • Define and track timelines with the client and ensuring adherence to the timelines

  • Budget management including but not limited to;
    • financial forecasting on a study/program level

    • client invoicing

    • obtaining vendor quotes

    • creating task orders

    • draft change orders for review

  • Review of copy ensuring compliance to all necessary regulatory/client requirements

  • Management of creation of artwork, translations, website, digital campaigns and retention item selection

  • Oversee retention item management, and printing and shipping of materials

  • Generate/review study/program KPIs

  • Ensure timely and accurate tracker completion

 

Vendor Management

  • Identify and escalate vendor performance issues, recommending action where required

  • Assess new vendors ensuring compliance to internal and client processes during the onboarding process

 

Business Development

  • Support the proposals team in creating high quality proposals by feeding into proposals as required

  • Identify the need for change orders and the opportunity to increase services within a project

  • Identifying commercial opportunities to improve efficiencies within the unit and across the company

 

Unit, Resource and Internal Team Management

  • Training and support of new staff

  • Line Management of co-ordinator role and below (where required)

  • Participate in interviews as requested

  • Other responsibilities as delegated by Line Manager


 

Key Skills/Attributes/Education

Desired:

  • Degree or higher in a biological science, or experience in materials development for patient recruitment, clinical research or health communications, or relevant marketing/design experience

  • Excellent organisation and communication skills, both written and oral

  • Ability to multitask, managing a variety of projects simultaneously, and experience working with numerous stakeholders on multi projects

  • Proficient in using Microsoft Office programs; Excel, Word and PowerPoint
