TalentSource Life Sciences (the sponsor-dedicated division of CROMSOURCE), is searching for an Administrative Assistant to join our client-based team at one of the leading global biopharmaceutical companies. Our client is a world leader, mainly working in the fields of neurology and immunology. Working with both scientists and academics across the globe, they have a focus on new products and a strong science based approach.

CROMSOURCE is an international CRO with a strong focus on quality, professional development and supportive culture. As a client-facing role, we are looking for confident candidates with the ability to work independently whilst establishing a high-trust environment with the client counter-parts.

Main Job Tasks and Responsibilities:
  • Provide administrative support and work in close cooperation with assigned personnel
  • Onboard/off-board team members joining SSI following existing processes
  • Serve as point of contact for department communications
  • Meeting preparation: coordination and scheduling of local meetings, organization of (internal) meetings and conferences
  • Purchasing of office supplies
  • Maintenance of SSI sharepoint (Admin) site and SSI Plaza content input
  • Support the ongoing external facing communications of SSI through Yammer or Plaza posts
  • Travel management (prepare trip requests and obtain necessary approvals, organize travel needs)
  • Coordinate office space and equipment needs (ie. Work space for visitors, meeting rooms, computers/laptops)
  • Assist in preparation of expense reports etc
  • Prepare and manage shipments via courier services
  • Back-up for other department assistants during vacation, illness etc
  • Any other responsibilities and projects that the client may assign
  • Ability to work with external vendors and consultants
  • Work effectively with all levels of management and other administrative assistances across the company
  • Set up meetings as requested by Project Lead and other SSI staff responsible for projects
  • Chase up on action completion as needed
  • Provide support to the teams including maintaining and reconciling spreadsheets of data for Business Operations activities
  • Prepare and send internal communications to SSI globally including project Newsletters such as OM and IR etc. Be the prompt to remind the team that it needs initiating and provide us with a template. Some level of creativity is a requirement to make the newsletters attractive and follow the process of final review before distribution
  • Booking training meetings including sending invitations to delegates, monitoring acceptance and attendance to courses, collating questionnaires using MS Forms
  • Assist with interactive elements of SSI training course preparation, upload and delivery. Including organizing Q&A sessions, running polls and creating virtual breakout rooms as an example
  • Assist with preparation and distribution of pre-read and post-training/presentation documents


Education, Experience and Skills:
  • At least 5 years' experience as an administrative assistant for a large group or other relevant business experience in similar role
  • Experience of supporting the management of projects
  • Ability to support a large team of varying abilities
  • Ability to work under pressure and within an international team environment
  • Good organizational skills
  • Good time management skills
  • Excellent communication skills
  • Fluent in English (strong skills in other languages advantageous)
  • Attention to detail
  • Excellent time management skills
  • Able to work at different levels
  • Excellent MS Office skills
  • Creative flair
  • Able to multitask and prioritize
