The Program Coordinator supports the day to day operations of Early Phase Development Solutions and Customer Success. Responsibilities include maintaining departmental metrics, client program trackers and financial trackers, and supporting Gantt chart preparation for proposal activities. Interactions will be primarily within the Early Phase Development Solutions and customer success team and other Covance business units. Program Coordinators will have the opportunity to learn about Covance capabilities and the development process by supporting multidisciplinary programs.

This is an office based role in Huntingdon or Harrogate, UK.

Responsibilities/Duties include:
  • Update and Track EPDS opportunities within SalesForce.com as required
  • Produce Gantt and Office Timeline documents for inclusion in proposals with support of a Program Manager as required
  • Responsible for submitting EPDS request form for scheduling and invoicing of EPDS management fees
  • Provide logistical support for program Kick off meetings and client visits
  • During the course of a Development Program, monitor the conduct and completion of individual studies against agreed milestones and highlight any changes to the Program Manager as appropriate
  • Manage the PO process for third party vendors
  • Responsible for generation, maintenance and delivery of finance trackers
  • Responsible for maintenance of EPDS information in CMS
  • Prepare draft versions of the appropriate tools, such as Gantt, study trackers, financial trackers, communication plan, risk log, action trackers, etc. for new program
  • Assist in the maintenance of EPDS tools such as Gantt, Study Trackers, communication plan, risk log, action trackers for each assigned program or portfolio
  • Participate in work stream to improve EPDS processes
  • Maintain and regularly update the EPDS SharePoint site
  • Provide support in the maintenance of client requirement documents
  • Assist with the shipment of compound, by liaising with Dispensary and Logistics and keeping the client informed
  • Begin to learn about Covance Service lines and capabilities, including sites where work is performed and SME's in each area
  • Ensure training records are up to date and accurately reflect capabilities
  • Collect KPI data as required based on client need
  • Perform other duties as assigned

  • Maintain positive and collaborative relationships with internal program team

  • Continually seeks to improve systems and processes and drives initiatives to completion.
  • Responsible for documentation, communication and championing customer specific requirements
  • Collaborates with the Customer Excellence team and the voice of the customer program, acquiring deep knowledge of the allocated customers, understanding their needs and loyalty drivers
  • Guide the organization of on-site visits ensuring they comply with Customer Best Impressions/Tour Ready standards
  • Participates in customer Hypercare meetings, as required, and drives accountability and deliverables across the designated teams
  • Perform other related duties as assigned
Education/Qualifications:
An associate or bachelor's degree preferred
Experience:
  • 2 years of previous experience within a science related environment required; CRO experience preferred.
  • Good customer service skills with a strong focus on client needs
  • Excellent communication skills (oral and written)
  • Ability to work with minimal Supervision
  • Good planning and organization skills
  • Good computer skills with good working knowledge of a range of computer packages
  • Ability to work with financial information
  • Ability to work within a program team
