Oxford Biomedica’s Facilities team is responsible for managing the Estate, including laboratory, manufacturing and office space.  The team is accountable for workspace planning, reception, catering, security, car parking and waste management.

We are currently recruiting for a Facilities Support Assistant 

The purpose of this role is to assist in the co-ordination of all facilities related activities ensuring the minimum disruption to business activities, the safety and welfare of all personnel, external contractors and visitors and the adherence to OXB systems and procedures.

 Your responsibilities in this role would be:

  • Acting as a first line support in relating to facility queries and requests and escalating where necessary.
  • Assisting the Assistant/Facilities Manager in managing outsourced contracts to ensure these contracts perform to the agreed standard and escalating any non-performance.
  • Providing cover for the Reception when necessary.
  • Supporting the Assistant Facilities/Manager (Space) in the delivery of the space optimisation strategy, coordinating moves and changes as required
  • Procuring regular items for staff use such as kitchen provisions and stationery and general housekeeping support
  • Devising and maintaining in-house facilities related documentation including Protocols, internal signage and spreadsheets
  • Carrying out administrative tasks such as seeking quotes, raising purchase orders, and processing invoices
  • Responsibility for adhering to the OXB Facilities SOP’s and undertaking inspections in conjunction with other Facilities team members.

To be successful in this role, you will have the following skills and experience:

 

 

  • Education to A Level or equivalent work experience
  • Previous experience within a similar administrative working environment is preferred
  • Demonstrable Customer Service Skills
  • Previous experience of dealing with external suppliers
  • Good understanding of H&S working standards
  • Knowledge of and/or IOSH certification would be preferred
  • Computer Literate and a working knowledge of Microsoft Outlook and the Microsoft Office.
  • Excellent communication skills both written and verbal.
