Job Description

  • Deputise for the Director/Associate of Project Management and in their absence, oversee the day to day running of the Project Management department, allocate studies to Project Managers and Assistant Project Managers if required.
  • Mentor Project Managers, Assistant Project Managers and Administrative Assistants in the department.
  • Participate in general departmental activities to assist in continuous improvement of the department.
  • Owns the sponsor relationship and is responsible for sponsor communication.
  • Provides a central point of study contact and single point of escalation on behalf of the functional teams (clinical, data management, biostatistics, medical writing, logistics, contracts, finance, medical and pharmacovigilance).
  • Proactively communicate with the sponsor and internal groups ensuringthat they have all the information required on project progress and status (risk analyses, what-if scenarios, contingency plans, technical information, significant changes of any kind, etc.).
  • Provide proactive decisions /solutions and how the project objectives are being, or should be, achieved.
  • Prioritize effectively and respond to urgent requests within team or from sponsor.
  • Maintain a positive, results-orientated work environment, building partnerships and modelling teamwork, communicating to the team in an open, balanced and objective manner.
  • Lead team meetings on a regular basis with project team to ensure project objectives are met; ensure the on-going communication to team members of the scope of work, timeline and project goals, technical information, and input from sponsor throughout the project including significant changes in resourcing, scope of work and timelines.
  • Lead regular meetings/calls with sponsor to ensure they are fully informed of project progress, proactive decisions / solutions and how the project objectives are being achieved.
  • Communicate fiscal, contractual, resource, deliverable and sponsor-related issues
  • Accountable for sponsor satisfaction as measured by client survey responses and repeat business
  • Review relevant materials (e.g. request for proposal, proposal, etc.)
  • Attend strategy meetings and provide input
  • Prepare for and attend Bid Defence meetings
  • Prepare project management strategy
  • Prepare monitoring and site management strategy
  • Manage study start up activities
  • Initiate the project following review of Lessons Learned to ensure current BestPractices are implemented
  • Review initial budget - provide feedback
  • Manage the set-up of the project team, overseeing request for resource, reviewing proposed team members for suitability, and managing any project team changes throughout the duration of the project
  • Set up, with Project Assistant role, appropriate Parexel systems and arrange access for team members
  • Initiate and/or manage IRB/EC and RA (when applicable) approval process with relevant team members
  • Organize and lead Sponsor Initiation Meeting by establishing expectations for project delivery, communication, and sponsor specific metrics, etc
  • Oversee set up and management of investigator payments
  • Identify and manage/communicate CIS (changes in scope) in a timely manner if applicable

  • Knowledge and Experience:
  • At least 3 years Phase I Project Management experience
  • Experience as Functional Team Leader in clinical/data management/logistics functions or proven experience in coordinating clinical trials
  • Presentation, speaking skills (business development experience desirable)
  • Budget/Contract experience desirable
  • In depth knowledge of guidelines, ICH-GCP and other applicable local and international pharmaceutical industry regulations
  • Solid computer and internet skills including knowledge of MS-Office products such as Excel, Word, PowerPoint, and Project


  • Education:
  • Bachelor's degree in a science related field or 6 to 8 years related work experience as a clinical research project manager
  • Or BA degree with 1 to 2 years related work experience as a clinical research project manager
  • Scientific/Medical/Pharmacology background desirable
