Our Facilities team is looking for a new Coordinator/Associate to join our office based position in Milan!

The position is permanent and will involve international exposure. Main responsibilities will include:

  • Manage FM contracts, both in-country and some in region, in line with defined service level agreements to include: building maintenance, vehicles, catering, cleaning, security, access control, archiving, insurance, office equipment, mobile phones, etc.
  • Using best practice, write specifications, run tender processes, procure goods and services for Office/Offices.
  • Provision and management of car fleet to include contract rewrites with recommendations to management as appropriate.
  • Management of travel function for office to include negotiation of airline deals, preferred travel provider, and assist global resources to ensure contract addendum to master agreement is compliant within country, etc.
  • Act as key contact for one or more Regional sub-sourcing categories i.e. cars, office supplies, travel, health and safety, security etc.
  • Act as Covance representative with managing agents and landlords of offices.
  • Manage provision of first aid and fire drill procedures within office.
  • Ensure all contract works are completed in line with current Health and Safety legislation with risk assessments prepared and method statements completed prior of commencement of work on site. Once on site, ensure that written statements are adhered to by contractors at all times.
  • Ensure all Health and Safety policies are updated and in line with current legislation.
  • Ensure that Crisis Response Management Plan for Country is maintained and updated every six months as well as develop and manage Business Continuity Plan for facilities functions.
  • Supervision of reception and postal/courier services within office - this may involve some actual reception/switchboard duties.
  • Act as key finance interface for all supplier invoices, Accounts Payable vendor queries, and be the main Purchase Requisitioner for FSA. Train all other Requisitioners within office.
Education/Qualifications:
  • Degree in Business Administration, Legal, Economics, Finance or similar and/or solid experience in a similar position.
  • Good understanding and practice using excel
  • Excellent level of English
Experience:
Results-oriented and flexible individual with strong communication and interpersonal skills.
