This is an excellent opportunity for a Vendor Officer with exposure to the clinical trials or pharmaceutical industry to play an implemental role in driving this organisation towards success.

We are looking for a Vendor Officer to support the Feasibility team. The successful candidate will be responsible for the identification of suitable external vendors to deliver procedures as required for new studies.

This role is key support function to the Global Feasibility Team and Contracts Team:
  • Enabling the Global Feasibility Team to deliver timely and accurate budgets for Vendor Services which move through to contract.
  • Enabling the Contracts Team to prepare accurate Vendor Contracts including clear description of the agreed services.


The successful candidate will act as primary point of contact between potential new vendors and the wider team. Arranges calls with key teams to clarify requirements, specifications, obtain quotes and assist in the negotiation of final agreed pricing.

You will be accountable for the collation and tracking of vendor quotes and questions, with methodical filing as required throughout the vendor selection process.

Main Responsibilities:
  • Contacting potential new vendors and leading preliminary discussions to ascertain interest.
  • Supports Contracts team by liaising with external vendors to ensure timely completion of CDA prior to information sharing.
  • Supporting the Global Feasibility Team and Contracts Teams with vendor document collection e.g. signed CDAs, quotes as required.
  • Liaising with site team to gather logistical/operational requirements for the vendor services.
  • Liaise with country teams to gather procedure costs to develop our existing procedure costs database.
  • Collect information from potential external vendors and perform research to support budget development.
  • Collation of central filing area to enable efficient transition of vendor information to Feasibility and Contracts teams upon acceptance of budget (or study award).
  • Assist in the initial set up activities, as needed (e.g. coordinate vendor questionnaires etc).
  • Proactively coordinate quick set up of vendors within individual study start timelines.
  • Follow Oncacare Policies and Standard Operating Procedures and develop appropriate SOPs for this function.


To be successful you will need:
  • To be commercial in approach to ensure effective Vendor Management is in place to support our feasibility and project management teams, with the aim of maximising clinical trial success.
  • Educated to degree level or equivalent.
  • Procurement experience (preferable).
  • Proven administrative experience essential with demonstrated ability to work in a methodical way.
  • Ability to plan and manage multiple deadlines and work under pressure.
  • Willingness to work in a matrix and virtual team environment.
  • Willing to work with and develop relationships with overseas operations.
  • Good verbal and written communication skills.
  • Good IT skills including proficiency in excel, PowerPoint and Word.
