Major Responsibilities

Activities for all contract types:

  • Maintain template contracts that conform to currently applicable law and commercial requirements.
  • Ensure that Non-Disclosure Agreements and contracts are negotiated and signed for all projects, clients, consultants, contractors, vendors, and other external parties in line with Zigzag’s Key Performance Indicators (KPI)
  • Ensure that all contracts under review are accurately tracked in accordance with Zigzag KPIs to enable colleagues to ascertain the progress of each contract in the review process at all times
  • Support the use of Salesforce for contract tracking
  • Ensure that all contracts support the company’s objectives
  • Lead or assist with the provision of internal contract training where necessary
  • Ensure that the company is protected from risk within the contract and where necessary seek legal counsel
  • Represent the Contracts group on internal and external calls, including clients calls when required
  • Inform appropriate internal stakeholders of contractual requirements. 

Client Contract Activities:

  • Provide the Commercial Team with contract-related support throughout the sales process
  • Communicate legal issues in client contracts to the relevant departments and seek solutions to problem areas in a timely manner
  • To ensure that all contracts are executed in line with Zigzag or client KPIs
  • To ensure that all contract renewals are executed in a timely manner.
  • Responsible for escalating all change orders
  • To provide quarterly metrics as defined by the company
  • Ensure Purchase orders (PO) are in place as and when necessary.

Client Contract Activities:

  • Provide the Commercial Team with contract-related support throughout the sales process

  • To ensure that all contracts are executed in line with Zigzag or client KPIs
  • To ensure that all contract renewals are executed in a timely manner.
  • Responsible for escalating all change orders

  • Ensure Purchase orders (PO) are in place as and when necessary.
  • Act as the main point of contact for vendors and other external parties in relation to contractual terms
  • Ensure that the company’s objectives and KPIs are clearly reflected and measurable in each vendor contract
  • Ensure that all vendor contracts are executed and in place prior to a vendor starting work
  • Oversee and manage all onboarding of suppliers, raising POs, filing, and general administration
  • Perform regular reviews with the internal individual responsible for delivery of the vendor services to determine whether contractual obligations are being met
  • Provide detailed reports to the Finance Director and internal stakeholders as required
  • Ensure that all Zigzag entities comply with their legal corporate obligations including, but not limited to, obtaining and ensuring sufficient cover for relevant registrations and insurances
  • Lead the liaison with the legal advisors as required
  • Update any relevant stakeholders with any changes or interpretation in law in a timely manner
  • Facilitate the development of proposals and costings ensuring that appropriate planning, timelines, and expectations are set for and met by the bidding teams, resulting in the production of appropriately customized, high-quality client deliverables.
  • Work with team members across all relevant functional areas and Business Development to ensure that the most comprehensive and appropriate strategy is represented in the proposal and budget.
  • Develop and provide appropriate transfer of strategy to the proposed project team prior to bid defense.
  • Proactively track all proposals from initial request to delivery and outcome.
  • Ensure the security of personal data, contract-related and legal confidential material at all times
  • When required, lead or assist with due diligence, regulatory and compliance matters 
  • Remain conversant with the company’s policies and SOPs and file documentation in accordance with the company’s filing requirements
  • Maintain a high level of organization and effective prioritisation of workload
  • Account for time in accordance with the company’s requirements 

Consultant Contract Activities

  • Prepare and finalise all consultant MSA and Task orders to ensure that, unless otherwise agreed with senior managers, they are in place prior to work commencing and in accordance with Zigzag KPIs
  • Ensure that hours allocated to consultants are accurate 

Skills Required

  • Solid understanding of business functions
  • Strong interpersonal, verbal and written skills, and ability to communicate confidently at all levels
  • Self-motivation and ability to function independently and within a team
  • Ability to function calmly under pressure
  • Working knowledge of Microsoft Word, Excel and PowerPoint
  • Fluency in English (reading, written, spoken)
  • Working as part of a team and collaboration with external legal functions. 
  • Possess the ability to work independently and under the supervision of senior lawyers when required
  • Possess the ability to develop and maintain long-term, effective working relationships at all levels of the company with outstanding client service mentality (proactive, immediately responsive, superb interpersonal skills)
  • Possess the ability to organise and prioritise tasks, handle high-pressure situations and deadlines in a timely fashion
  • Exhibit a high degree of integrity, discretion, confidence, motivation, and resourcefulness
  • Be able to adapt to changing situations
  • Degree, or equivalent qualification or experience
  • Experience within a senior management role
