Job Description

The Reviewer Management team identifies and selects the most appropriate independent (medical imaging)reviewers to meet our requirements, based on the independent reviewer's qualification, experience, training and availability. Independent Reviewers are subcontracted physicians with Parexel and are located throughout; we are actively managing around 350 reviewers. The team is responsible for onboarding reviewers including collection of regulatory paperwork per our SOP, reviewer agreements and contracting, workstation setup, and commencement of services and setup in Parexel's Financial System. The final stage of onboarding includes allowing access to the Parexel workstation and network, which is done in conjunction with the Parexel IT department through a secure request process. Our reviewer operations team manages our network of independent reviewers and oversees all reviewer relationships. The team is responsible for the following activities:
  • Working with the IT department to coordinate set-up of reviewer workstations,
  • Identification of the appropriate reviewers for each study,
  • Managing monthly invoices for the reviewers,
  • Ensuring overall quality of reviewer,
  • Supporting client and FDA/EMA audits when reads are included,
  • Managing reviewer contracts,
  • Working with the procurement group for vendor qualification as needed.
  • Servicing as an escalation point for study teams to assist with reviewer related issues


  • The Reviewer Operations Associate will work closely with the Manager, Reviewer Operations and Global Reviewer Operations to effectively manage the subcontract reviewers, consultants and internal reviewers. The Reviewer Operations Associate will be responsible for maintaining the reviewer database, ensuring all information is up to date. This role requires someone who isable to prioritize their workload to be able to provide support to the Client Operations Group.
  • Manage reviewer assignments and provide CVs to the Project Managers for client approval, prepare Independent Reviewer Candidacy Approvals if applicable.
  • Schedule project specific reviewer trainings and coordinate logistics (i.e. reserving a conference room, ensuring proper access has been granted for admission into a lab in necessary) for training sessions. Ensure reviewer subcontracts are in place prior to each training, if applicable.
  • Assist Project Managers when Reviewers are non-responsive.
  • Coordinate workstation installation for remote reviewers and work closely with Technical Operations for maintenance of remote labs.
  • Maintain the reviewer database, updating with new projects, reviewers and reviewer CVs as needed.
  • Process reviewer invoices on a monthly basis (at a minimum).
  • Assist with the reimbursement of reviewer training related expenses
  • Respond to questions from AP Finance and our PI Finance Specialist regarding independent reviewer invoices
  • Schedule Perceptive Academy courses as needed.
  • If applicable, facilitate discussions between Perceptive Business Operations and an independent reviewer and/or an institution in regards to completion of a subcontract and/or service agreement.
  • Undertake the full range of duties relevant to the leadership, management and development of the team to ensure their performance meets and or exceeds both the business and their own personal goals/objectives
  • Maintain a positive, results oriented work environment, building partnerships and modeling teamwork, communicating to the team in an open, balanced and objective manner.
  • If needed, participate at the training (collecting of all completed and signed SOP 3011 forms for each reviewer, answer questions reviewer might have)
  • If needed, scan all completed and signed SOP 3011 form into the project drive and return them to the Project Manager for Central Files after the completion of the training
  • If needed, Collect and file CVs of new reviewer
  • Qualifications

  • Some administrative experience required
  • Excellent interpersonal, verbal and written communication skills
  • Client focused approach to work
  • A flexible attitude with respect to work assignments and new learning
  • Ability to manage multiple and varied tasks with enthusiasm and prioritize workload with attention to detail
  • Willingness to work in a matrix environment and to value the importance of teamwork.
  • A-levels or equivalent. BS/BA degree preferred.
