Our International pharmaceutical client is looking for an experienced Talent Acquisition Associate to provide an effective end-to-end recruitment support to all functions across the UK and the Nordic countries. This will be a hands on role across all activities ranging from administrative activities liaising with recruitment suppliers and advising Hiring Managers.


Main duties and responsibilities:
* Arranging and scheduling interviews / assessment centres and scheduling them in the diary management system & visitor management system. There may also be the requirement to arrange additional resources such as WebEx, video conferencing and presentation capabilities.
* Coordinating of interviews / assessment centres on the day including liaising with Hiring Managers, candidate ID checks and setting up of rooms & resources.
* Advertising of positions both internally & externally, including relevant communications through email, intranet and internet applications.
* Manage the provision of a full range of administrative duties, including invoices, interview expenses, contractor schedules, creating & amending records on Success Factors, management of recruitment & interns inbox and other related activities.
* Liaising with internal and direct candidates throughout the process.
* Providing administration support around role management including were applicable releasing jobs; supporting agency briefings; arranging interviews and collating feedback.
* CV screening and the collation of applications for short listing for early careers (Interns & Apprentices) and other appropriate roles.
* Keep all filing up to date and carry out the archiving of files in a timely manner and in accordance with Data Protection legislation.
* Perform right to work checks (incl. passport & visa checking).
* Maintaining and updating the recruitment ATS, trackers and other files as required.
* Involved in appropriate projects and supporting wider HR Ops activities.
* Assisting in producing relevant reports and other recruitment / HR related duties in order to ensure the smooth running of the department.
* Provide support in the wider HR function (in particular the HR Team Assistant) when required to do so.


Skills & Experience required:
* Previous experience in an internal / agency recruitment function or HR function including some recruitment experience.
* Aptitude to work in hands on role involving full recruitment process.
* Strong administrative skills and the proven willingness to carry out these duties in support of a wider team.
* Proven experience communicating with Hiring Managers and other stakeholders at all levels.
* Experience recruiting for in the Pharmaceutical, Life Science or a related industry would be advantageous, but is not essential.
* Strong communication and presentation skills with the ability to communicate clearly, sensitively and confidently at all levels, in meetings, in writing and by telephone.
* Experience of working with confidential information.
* Well-developed organisation, prioritisation and time management skills - ability to deliver and negotiate demanding workloads and projects with conflicting deadlines to multiple customers working to high level performance standards.
* Good interpersonal skills and flexible approach to supporting the differing needs of colleagues.
* Highly analytical, numerical with strong attention to detail.
* Strong IT skills and self-sufficient in the utilisation and application of Microsoft Word, Excel and PowerPoint packages. Experience of Lotus Notes is advantageous but not essential.
