As the Soft Services Supervisor at Covance, you will support the Client & Staff Services Manager in providing an excellent customer service experience for all clients and visitors across our sites in Huntingdon, Eye & Shardlow sites.

Job Responsibilities:

To support the Client & Staff Services Manager the daily operation of:

Concierge services:

  • Providing a professional meet and greet concierge service to our visitors
  • Ensuring the concierge team and area are well presented at all times
  • Developing the concierge team members in all aspects of customer service delivery
  • Ensuring coverage of the front desk and switchboard at all times
  • Ensuring meeting rooms are ready to receive their visitors
  • Develop and improve the services offered by the concierge team whilst ensuring existing service requirements continue to be met
  • Lead any business communications whilst ensuring platforms, such as the company Knowledge base are professionally presented and up to date
  • Develop processes to ensure client lunches and refreshments are communicated to the hospitality team accurately and in a timely manner and any amendments to those bookings are actioned

  • To ensure the team process all client study reports within 48hrs of receipt
  • Ensure all requests for printing, binding laminating etc are actioned within an acceptable timeframe and to a high standard
  • Develop and update training matrixes whilst ensuring desk instructions are in place
  • Company SOP's are adhered to by the department

  • Ensure all bookings logged through the Clarkson system and management sign off obtained where necessary
  • Ensure all staff who are using company vehicles have provided all necessary documentation
  • Company booking process and usage policies are adhered to by all parties

Hospitality services:
  • Work with the hospitality team to develop choices and ensure consistency across the sites
  • Ensure all requests for hospitality and refreshments for client visits are processed ensuring quality offerings which are professionally presented at all times
  • Deliver internal requests for hospitality/refreshments
  • Develop a consistent approach to hospitality offerings across the UK where possible

Restaurant services:
  • Working with both Head Chefs to support the daily restaurant operations
  • Lead any business communications whilst ensuring platforms, such as the company Knowledge base are professionally presented and up to date
  • Work with the Head Chefs to develop innovations and ensure consistency across the sites
  • Support with the site communication of restaurant changes, such as changes to service, theme days or new process'
  • Review supplier activity with Head Chefs to ensure quality, pricing and service levels meet company expectation

People Management:
  • Oversee the day to day operations of admin services at Huntingdon and Eye
  • Review and develop the services offered by the admin team whilst ensuring existing service requirements are met by both Reprographics and Concierge
  • Monthly reporting including performance against your set metrics
  • Train and support all members of your team in the expectations and delivery of their roles
  • Build and develop a multi-skilled team of administrators
  • Carry out annual appraisals and objective setting
  • Minimum GCSE/A Level

  • Essential- Proven experience of managing a multi-skilled administration team
  • Essential- Conscientious and hardworking - this is a demanding role
  • Essential- Must be able to use Microsoft Outlook, Excel and PowerPoint
  • Essential- Strong written and oral communication skills- able to concisely communicate messages to the relevant audience
  • Desirable- Experience working within a hospitality or conferencing environment
  • Management skills- Recruiting, training and managing staff on a day to day basis
  • Customer service- excellent interpersonal skills for handling both staff and customers
  • Strong written and oral communication skills
  • Financial acumen- Experienced in the handling of cash and the production of financial spread sheets/reports
  • Strong PC skills - to place orders, send emails, update the Intranet system
  • Organisational skills- ability to prioritise workload and direct staff according to the requirements of the day
  • Decision maker- able to make decisions to ensure the smooth operation of services
  • Leadership skills- able to motivate and lead the team to deliver results
  • Creativity- able to provide new solutions and offer new ideas
  • Ability and flexibility to travel to other sites, being in a multi-site supervisory position
