To ensure the planning, organising and day to day running of the company. To manage stock control, receipt, storage, retrieval and to ensure the timely shipment of medicinal products. The Coordinator will supervise shipment receipt, loading & transferring and keep records of documents by entering data

The Coordinator will plan, organise and monitor transportation of medicinal products from suppliers to the client followed by dispatch to customers internationally. The Coordinator will manage the client's  approved courier companies and arrange timely shipments at all times.

Responsibilities

  • Manage stock control: the receipt, storage, retrieval, timely delivery of goods, shipment loading & transferring, document recording and data entry into system.
  • Ensure goods are booked-in and out of the Inventory Management System accurately with batch details, expiry dates, quantity and delivery addresses.
  • Monitor warehouse and cold room temperature on a daily basis and ensure accurate record keeping.
  • Plan, organise and handle all warehouse operations.
  • Plan out all warehouse resources and activities in relation to company objectives and set targets.
  • Ensure workplace health and safety requirements are met and take responsibility for the security of the warehouse and stock.
  • Issue monthly inventory stock reports to the management team (Director of Operations & Responsible Person)
  • Implement a cost reduction principle for all aspects of the warehouse and courier activities.
  • Adopt a continuous improvement approach to warehouse operations.
  • Proactively organise shipments and liaise with courier companies.
  • Negotiate rates with common carrier representatives.
  • Manage  transport aspects and report to management team.
  • Liaise with suppliers and clients to organise and deliver timely shipments.
  • Prepare paperwork to meet regulatory requirements.
  • Prepare commercial invoices for products to be exported.
  • Ensure that accurate delivery charges are provided.
  • Take ownership of logistics process and to ensure steps are in place to maintain integrity of products during transportation.
  • Prepare product picking notes, delivery notes, packing lists and invoices for all shipments.
  • Proactively make recommendations regarding courier companies and ensure their effectiveness.
  • Ensure systems are put in place to improve the logistics operations.

Position Requirements

 

  • Three years direct work experience in a warehouse & logistics capacity, including all aspects of liaising with courier companies.
  • Good written and verbal communication in English and German.
  • Database and operational experience with stock control systems.
  • Demonstrated experience and understanding of courier companies processes.
  • Technically competent with software programs utilised by the company.
  • Experience of working independently and in a team-oriented, collaborative environment is essential.
  • Can conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities.
  • Flexible during times of change.
  • Ability to read communication styles of team members and contractors who come from a broad spectrum of disciplines.
  • Persuasive, encouraging and motivating.
  • Strong written and oral communication skills.

  • Must be able to learn, understand, and apply new technologies.
  • Customer service skills and excellent telephone manner is essential.

Work Conditions

 

  • Reports to Director of Operations and Responsible Person
  • From time to time overtime may be required to meet project deadlines.
  • Physically able to participate in training sessions, presentations, and meetings with clients and courier companies.
